Refund & Cancellation Policy

Adult Courses at Academia

 

Adult Class – Monthly Subscription

Classes, billed monthly, four weeks in advance, may be cancelled at any time with four week’s notice. We will inform you of your final class date when you contact us. In order to maintain a consistent fee, your monthly payment has taken into account all holidays when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday. Your class may require a textbook which is the student’s responsibility to purchase.

Adult Classes – Defined Time Period

For classes with a distinct start and end date (e.g. a 12 week English Literature class), if you cancel 14 days before the class start date, you will receive 75% credit to be used for any other adult class. The credit must be used within 12 months. After the class has started, no refund may be made, as Academia has already scheduled instructor time based on your commitment to attend the class. In order to maintain a consistent fee, your monthly payment has taken into account all holidays when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday.

ABSENCES:

Refunds or credits will not be issued for students who are absent (due to illness or otherwise). Your placement in Academia’s adult classes is specifically reserved for you. Once a placement is reserved Academia does not replace that placement or seat even upon days of absence.

If you will be absent, please notify Academia staff via email (info@chicagoacademia.com) or phone/text (708) 401-0888 as soon as your are aware of a potential absence so we may alert your instructor.

In all other cases, registration fees are not refunded if the student cancels their participation. 

 

Children’s Courses at Academia

 

Academia’s International Preschool and Little World Travelers in English Preschool.

The $100 registration fee is non refundable. This amount will not be refunded in the event of a cancellation.  Your monthly payment is dependent upon the hours and days you have registered your child for. The first monthly payment is due at time of registration. This amount will not be refunded in the event of cancellation. Enrollments may be cancelled with 8 weeks notice. Monthly tuition fees has taken all holidays into account when classes may not occur. No refunds will be given for any such holidays.

Children’s Classes – Monthly Subscription

2019 Summer Camp at Academia Refund and Cancellation Policy

  • The registration fee is non-refundable.
  • Cancel before March 1st, 2019 for a full refund (minus registration fee).
  • Cancellations on, or after, March 2nd, 2019 (up until 14 days before the start of your camp reservation) receive 100% credit towards future enrollment in any Academia program(s) that start and complete attendance within 12 calendar months.
  • Cancellations within 14 days of your initial camp reservation week will receive no refunds or credits. Transfers to other camp weeks are free and subject to availability.
  • After April 1st, 2019, Academia cannot guarantee the weeks you require will not reach maximum capacity. No refunds or credits will be provided if your preferred weeks are unavailable.
  • Refunds, credits or proration will not be issued for registrants who are absent or unable to attend for any reason.
  • Refunds, credits or proration will not be issued for children who attend a shorter day than purchased.

 

After-school and Half Day programs enrollment (full week or specific days of the week for the current academic year):

  • The total payment for the 2018-2019 academic year is divided into monthly payments during the school year in order to spread the cost over time.
  • The first payment is due at time of registration (note this is not a registration fee but a tuition fee that happens to be made at time of registration). This amount will not be refunded in the event of cancellation.
  • To avoid being liable for the remaining payments for the semester, please email billing@chicagoacademia.com at least 30 days before the start of the semester.  No refunds for monthly payments will be made within 30 days of the first class date.
  • In order to maintain a consistent fee, your monthly payment has taken into account all holidays and institute days, early dismissal days and other breaks when classes are not scheduled to occur per the school district calendar. As a result, no refunds will be given for days during which your class falls on a holiday consistent with school district calendar.
  • No refunds or prorations will be issued for days your child is absent or unable to attend for whatever reason.
  • Enrollments may be cancelled with 8 weeks notice.

 

Drop In & Other Children’s Programs

If you have registered your child for a children’s program with a defined start and end date, such as a one week Winter Break or Spring Break Camp, and wish to cancel, please email billing@chicagoacademia.com at least 10 days prior to the start date of the first class to receive a full refund to the card used to register. No refunds are given after this time period. Registration fees will not be refunded. Refunds will not be issued for no shows or last minute cancellations.

Children’s Drop In classes require at least 48 hour notice of attendance via email to info@chicagoacademia.com or call/text to (708) 401-0888 and must be confirmed by an Academia Customer Service Coordinator.  If you have confirmed a drop off date and time with an Academia employee and your child is absent, refund or credits will not be issued. In an emergency situation, you may purchase a same day drop in but you must VERBALLY confirm attendance with an Academia employee.

Once a placement or seat is reserved Academia does not replace that placement or seat even upon days of absence.

General (All Children & Adult Courses at Academia):

Academia reserves the right to cancel any class or event that does not meet minimum enrollment. If this happens, you will be notified via email, and a full refund including registration fee will be put back on the card used to register. In all other cases, registration fees are not refunded if the student cancels their participation.

The Academia team will work hard to ensure children can continue attending our programs and will communicate with parents and staff to address any behavioral challenges.  However, any child attending Academia may be dismissed if the Academia management team do not believe the child is benefitting from the program offered or if they are not able to meet behavior expectations given available supports and accommodations.

Academia strives to meet the needs of all students, but may need to discontinue a student’s participation if extensive supports are required that exceed what our staff are able to provide.  We also reserve the right to remove students from programs if members of their family are not a suitable match for the Academia community. Academia reserves the right to decline new registrations from previous program participants. Academia is not liable for any additional costs parents may incur as a result of their child being unable to continue participation in a program. These decisions are solely at the discretion of the Director and management employees.

It is the customer’s responsibility to ensure a valid credit card is held on their account.  A $35 processing fee will be applied to the account for each missed payment.  Once Academia contacts you regarding a missed payment, you have seven days to pay the account balance in full.  If payment is not received at that time, your place in your class or your children’s class is canceled.  Regarding children attending Academia’s after school program, parents will always be notified so they may organize alternate arrangements. 

 

In observance of Federal holidays, Academia will be closed on the following days:

The following is a list of dates Academia will be CLOSED in 2018. Classes will not be held the following days:

 

Thursday November 22nd – Friday November 23rd: Thanksgiving observance.

Monday December 25th – Friday December 28th. Christmas Day observance.

Tuesday January 1st, 2019: Academia Closed. New Years.

If your class falls on such a day, please be advised your monthly rate has considered the above holidays. No refunds are issued for the above dates. Unless otherwise advised by an Academia employee, your class will meet as scheduled, year-round.
