Adult Courses at Academia

Adult Class – Monthly Subscription

Classes, billed monthly, four weeks in advance, may be cancelled at any time with four week’s notice. We will inform you of your final class date when you contact us. In order to maintain a consistent fee, your monthly payment has taken into account all holidays when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday. Your class may require a textbook which is the student’s responsibility to purchase.

Adult Classes – Defined Time Period

For classes with a distinct start and end date (e.g. a 12 week English Literature class), if you cancel 14 days before the class start date, you will receive 75% credit to be used for any other adult class. The credit must be used within 12 months. After the class has started, no refund may be made, as Academia has already scheduled instructor time based on your commitment to attend the class. In order to maintain a consistent fee, your monthly payment has taken into account all holidays when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday.

ABSENCES:

Refunds or credits will not be issued for students who are absent (due to illness or otherwise). Your placement in Academia’s adult classes is specifically reserved for you. Once a placement is reserved Academia does not replace that placement or seat even upon days of absence.

If you will be absent, please notify Academia staff via email (info@chicagoacademia.com) or phone/text (708) 401-0888 as soon as your are aware of a potential absence so we may alert your instructor.

In all other cases, registration fees are not refunded if the student cancels their participation. 

Children’s Courses at Academia

Academia Language Preschool and Little World Travelers Preschool.

The total payment for the 2018-2019 academic year is divided into multiple payments in order to spread the cost over time.  The first payment is due at time of registration (note this is not a registration fee but a tuition fee that happens to be made at time of registration). This amount will not be refunded in the event of cancellation. Enrollments may be cancelled with 8 weeks notice. Monthly tuition fees has taken all holidays into account when classes may not occur. No refunds will be given for any such holidays. 

Children’s Classes – Monthly Subscription

As a result, no refund will be given for days during which your class falls on a public holiday.

2018 Summer Camp at Academia

  • If you notify us before April 1st, you can apply for a 100% credit on your account for a future enrollment, or a 75% refund.
  • If you notify us between April 2nd and June 1, you may receive a 100% credit on your account for a future registration, or 50% refund.
  • After June 1, you may receive a 75% credit on your account.
  • Once a camp begins, we cannot make any adjustments or offer any credits.  We will happily transfer your dates to a different camp week if space is available.
  • Credits to your account should be redeemed within one year of your initial payment.
  • In order to maintain a consistent fee, your monthly payment has taken into account all holidays when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday.
  • Flexibility is provided to certain classes up to April 20th, 2018. Please reserve your dates early to ensure placement. Academia cannot guarantee the weeks you require will not reach maximum capacity.  No refunds will be provided if your week of preference is unavailable.
  • Refunds or credits will not be issued for registrants who are absent. Academia has reserved a place for your child(ren) each week of enrollment and as a result your child(ren)’s place is secure and non replaceable.

Afterschool enrollment (full week or specific days of the week for the current academic year):

The total payment for the 2018-2019 academic year is divided into multiple payments in order to spread the cost over time.  The first payment is due at time of registration (note this is not a registration fee but a tuition fee that happens to be made at time of registration). This amount will not be refunded in the event of cancellation.  To avoid being liable for the remaining payments for the semester, please email billing@chicagoacademia.com at least 30 days before the start of the semester.  No refunds for monthly payments will be made within 30 days of the first class date. For example, if the semester you register for has total semester price divided across four monthly payments, you will not be refunded any of those payments unless you cancel within 30 days of the first class start date (first day of the Oak Park District 97 school semester).  In order to maintain a consistent fee, your monthly payment has taken into account all holidays and institute days when classes may not occur. As a result, no refund will be given for days during which your class falls on a holiday consistent with Oak Park School District 97 School Calendar

Drop In & Other Children’s Programs

If you have registered your child for a children’s program with a defined start and end date, such as a one week Winter Break or Spring Break Camp, and wish to cancel, please email billing@chicagoacademia.com at least 10 days prior to the start date of the first class to receive a full refund to the card used to register. No refunds are given after this time period. Registration fees will not be refunded. Refunds will not be issued for no shows or last minute cancellations.

Children’s Drop In classes require at least 24 hour notice of attendance via email to info@chicagoacademia.com or call/text to (708) 401-0888. If you have confirmed a drop off date and time with an Academia employee and your child is absent, refund or credits will not be issued. In an emergency situation, you may purchase a same day drop in but you must VERBALLY confirm attendance with an Academia employee.

Once a placement or seat is reserved Academia does not replace that placement or seat even upon days of absence.

General (Children & Adult Courses at Academia):

Academia reserves the right to cancel any class or event that does not meet minimum enrollment. If this happens, you will be notified via email, and a full refund including registration fee will be put back on the card used to register.

In all other cases, registration fees are not refunded if the student cancels their participation.

It is the customer’s responsibility to ensure a valid credit card is held on their account.  A $35 processing fee will be applied to the account for each missed payment.  Once Academia contacts you regarding a missed payment, you have seven days to pay the account balance in full.  If payment is not received at that time, your place in your class or your children’s class is canceled.  Regarding children attending Academia’s after school program, parents will always be notified so they may organize alternate arrangements. 

 

 

In observance of Federal holidays, Academia will be closed on the following days:

The following is a list of dates Academia will be CLOSED in 2018. Classes will not be held the following days:

Monday May 28th: Memorial Day.

Wednesday July 4th: Independence Day

Monday September 3rd: Labor Day.

Thursday November 22nd – Friday November 23rd: Thanksgiving observance.

Monday December 25th – Friday December 28th. Christmas Day observance.

Tuesday January 1st, 2019: Academia Closed. New Years.

If your class falls on such a day, please be advised your monthly rate has considered the above holidays. No refunds are issued for the above dates. Unless otherwise advised by an Academia employee, your class will meet as scheduled, year-round.
