Everything you need to know
On what days will Academia be closed?

The following is a list of dates Academia will be CLOSED in 2019-2020. Classes will not be held the following days:

  • Wednesday, November 27 – Friday, November 29, 2019. Thanksgiving Break.
  • Monday, December 23, 2019 –  Wednesday, January 1, 2020.  Winter Break.
  • Memorial Day: Monday, May 25, 2020.

If your class falls on such a day, please be advised your monthly rate has considered the above holidays. No refunds are issued for the above dates. Unless otherwise advised by an Academia employee, your class will meet as scheduled, year-round.

Is it possible to visit Academia in advance of registering?

Yes, we would love to meet you! We hold an Open House most Saturday mornings from 11:30am  12:30pm. To visit and tour our space at any other time please email info@chicagoacademia.com.

Do you have a drop-off area?
Yes, there is an alley at the rear of 306-308 Madison, next to Julian Middle School, where you can drop off your child so they can enter through the rear entrance. There are a few parking spaces at the back of the building that are not for Academia customers. Please be careful bringing your child in or having them walk to the back door from your car, in case these vehicles move.
Where do I enter the building from Madison St.?
Please enter through the left-hand door at 308 Madison St.
Can I wait while my child attends a class?
Yes, we have a comfortable reception area. Tea and coffee are available, and there are toys for younger children to keep them occupied while you wait.
Will my child need to bring "inside shoes"?

A pair of inside shoes are not required. However, we do recommend a pair of socks for indoor use only.

Will if my child is sick or is at the school nurse's office?

If a child is at the school nurse’s office and has already decided the parents need to be contacted,  we will not pick a child up for after-school program. 

If a child has to be picked up from Academia due to sickness, they will not be accepted back until those symptoms have not shown for 24 hours. Parents who drop their child the day after they went home sick will be asked not to leave their child.

Children may return to their usual program at Academia 24 hours after the fever, diarrhea and/or vomiting has resolved.

How can I keep up-to-date on new classes that are available?
Simply “like” our Facebook page for up-to-date information on new classes and events.
Are children taken out of the Academia building for some activities?
Yes, some classes involve walks to nearby local parks. There is a checkbox as part of the registration process to provide or deny permission for such outings. If you do not provide permission, we will contact you to talk through how we can best meet your child’s needs.
Are there additional charges for late pick-up?
No. We understand that parents do their best to arrive on time, and that life happens! However, please be respectful of pick-up times and give us a call if something delays collection of your child.
What if I cannot get my child to class at the exact start time?
No problem. We will transition your child into the class when they arrive.
Do you have a scheduled nap time?
No, Academia does not have a scheduled nap time for children. If your child is feeling tired or in need of a little rest, they may curl up with a book and a comfy cushion for a rest.
I need to drop my child earlier than the start time of the class in order to meet my other commitments. What can I do?
Please contact us if you would like to make arrangements for a more flexible drop-off time. For example, if a morning class starts at 8:30am but you need to drop your child at 8:15am, contact us at info@chicagoacademia.com and we will work with you to find a solution so your child can still attend the class.
If I sign up my child for the after-school program in fall, do they automatically have a place reserved for future semesters?
Yes. Their place is reserved for the full school year. We will contact you before the next semester begins to ask if you want your child to attend the following semester.
How are prices calculated for the after-school programs?
We use the daily rate we advertise, e.g., $24/day and add up the total number of days school is in session. We divide that total into multiple payments to spread the total cost. Your initial registration fee is non-refundable and is a deposit toward the full yearly rate.
How would you describe the learning environment at Academia?
The focus is on fun and making the children curious about the topic. We often start a class with an object or artifact (e.g., a replica of a toy children would have played with in Ancient Greece) and use that as the starting point for the lesson such as, what was it like to be a child living in Ancient Greece? There is also hands-on project work on arts and crafts activities that tie into the class theme. Class sizes are so small that we have a great deal of flexibility to create custom learning plans for regular classes and really tailor the content to one child’s learning goals. We are big believers in outdoor time! Camps and longer classes will always include outdoor time if the weather allows it.
Do you have a discipline policy?
No. We have a fluid approach that focuses on understanding the root cause for the behavior. We will talk to the child sympathetically about how they are feeling. Is the child tired, frustrated, hungry, or overstimulated? We explain if the behavior was inappropriate and why, keeping in mind what is developmentally appropriate for that child. Parents will be informed and we will seek their input and support.
Can children be dismissed from programs provided by Academia?
The Academia team will work hard to ensure children can continue attending our programs and will communicate with parents and staff to address any behavioral challenges.  However, any child attending Academia may be dismissed if the Academia management team do not believe the child is benefitting from the program offered or if they are not able to meet behavior expectations given available supports and accommodations. Academia strives to meet the needs of all students, but may need to discontinue a student’s participation if extensive supports are required that exceed what our staff are able to provide.  We also reserve the right to remove students from programs if members of their family are not a suitable match for the Academia community. Academia reserves the right to decline new registrations from previous program participants. Academia is not liable for any additional costs parents may incur as a result of their child being unable to continue participation in a program. These decisions are solely at the discretion of the Director and management employees.
What is your cancellation and refund policy?

Do you provide payment plans?
Many of Academia’s programming and classes are on payment plans. If you are in need of a different payment plan configuration, for example, if you would prefer biweekly payments instead of monthly payments, these are available upon request after your initial non-refundable deposit is paid. Is the inital payment made upon registration refundable?
The initial payment made upon registration and enrollment is non refundable. For specific refund and cancellation wording, please thoroughly read through the course description prior to enrollment. Email questions to : billing@chicagoacademia.com.
Do you accept enrollment for three-year-olds?

We may occasionally have shortened hours and programming for 3 – 3.5-year-olds. However, we do not have any full-day programming for children three and under. Email info@chicagoacademia.com with your specific request or for more information.

Academia’s World Explorers 2020 summer camp is open to children ages 3.5-10.

My child still needs help going the bathroom. Is that okay?
We require that children are potty trained and out of diapers or pull-ups. We expect that little ones will still need help in the bathroom. A female member of our staff will be available to assist your child. Children are welcome to visit and attend a trial session prior to being fully potty trained, in anticipation of future enrollment, but the session will be limited to one hour and a caregiver should remain on site.
What if I need to pick up my child earlier than expected?
If you need to pick up your child earlier than expected, please call us at 708-401-0853 fifteen minutes prior to your pick-up time, and we will have your child ready for you.
Does Academia have an EIN (Employer Identification Number)?
