Oak Park After-school Programs

2019-2020 After-School at Academia Refund and Cancellation Policy

Oak Park Elementary Schools

  • Registration fees are non-refundable, and no discounts will be applied.
  • The first month’s payment is non-refundable and is used to reserve a spot in the after-school program for your child. Should the payment not be made according to the billing schedule, your reserved spot will be forfeited and the paid registration fees will not be refunded.
  • If you pay the $50 registration fee and decided you are no longer in need of the slot, you are not obligated to pay the first month’s or any future payment.
  • Cancellations for bus transport may occur with eight week’s notice. Registration fee and any monthly payments prior to last day of attendance are non-refundable.
  • Cancellations for children enrolled in Academia’s walking transfer from Longfellow may occur with two week’s notice. Registration fee and any monthly payments prior to last day of attendance are non-refundable.
  • Academia cannot guarantee that you can change which days of the week your child attends, but if space is available, you may switch at any time and no cost.
  • Parents reducing their time from five days a week to 1-4 days a week will forfeit the paid registration fee and must re-pay under the 1-4 days option.
  • Refunds, credits, or prorations will not be issued for registrants who are absent or unable to attend for any reason.
  • Refunds, credits, or prorations will not be issued for children who attend a shorter day than purchased.

River Forest After-school Programs

2019-2020 After-School at Academia Refund and Cancellation Policy

River Forest Elementary Schools (no “to door” service)

  • Registration fees are non-refundable, and no discounts will be applied.

River Forest Elementary Schools + To Door Service

  • Registration fees are non-refundable, and no discounts will be applied.
  • Enrollment in the “to door service” requires at least three months’ commitment.
  • Payments are made at three months in advance.
  • Once an advance payment is made, no refunds or prorations will occur.
  • Cancellations may occur with four weeks’ notice prior to the next advance payment.
  • Refunds, credits or prorations will not be issued if a parent picks up their child prior to the bus leaving for drop-offs.
  • Children will only be dropped off at their homes or places of residence.

River Forest Half Day Program

Garfield in Forest Park Half Day Program

International Preschool

Academia’s International Preschool and Little World Travelers in English Preschool Refund/Cancellation Policy

  • The $100 registration fee is non-refundable. This amount will not be refunded in the event of a cancellation.
  • Your monthly payment is dependent upon the hours and days you have registered your child for.
  • The first monthly payment is due at time of registration. This amount will not be refunded in the event of cancellation.
  • Enrollments may be cancelled with 8 weeks notice.
  • The monthly tuition fees has taken all holidays into account when classes may not occur. No refunds will be given for any such holidays.

Absences

  • Refunds or credits will not be issued for students who are absent (due to illness or otherwise). Once a placement or seat is reserved, Academia does not replace that placement or seat even upon days of absence.
  • If your child will be absent, please notify Academia staff via email at info@chicagoacademia.com or by calling/texting 708-401-0888 as soon as you are aware of a potential absence.
  • Should your child be absent on a day scheduled to attend, there are no make up opportunities available.

Spring & Winter Break Camps

Refunds, credits, or prorations will not be issued for registrants who are absent or unable to attend for any reason or for last minute cancellations.

Refunds, credits, or prorations will not be issued for children who attend a shorter day than purchased.

If you wish to cancel please email billing@chicagoacademia.com at least 10 days prior to the start date of the first class to receive a full refund to the card used to register. No refunds are given after this time period. Registration fees will not be refunded. 

One Day Camps:Institute Days, School Holidays and other Non-attendance days

If you wish to cancel please email billing@chicagoacademia.com at least 10 days prior to the start date of the first class to receive a full refund to the card used to register. No refunds are given after this time period. Registration fees will not be refunded. 

Please notify us by 5:00pm the day prior of non-attendance and a credit in the amount paid will be applied to your account for use within 12 calendar months. No shows will not receive a credit or refund.

Children's Language Classes

In order to maintain a consistent fee, your monthly payment has taken into account all holidays and breaks when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday or for days listed in the class description. Classes billed monthly, four weeks in advance, may be cancelled at any time with four week’s notice. 

Refunds, prorations or credits will NOT be issued for student no shows or absences.  In case of absences, there will be no “make up” classes for any language classes. 

Cancellations may occur, with 4 weeks notice. All cancellations must be submitted via email to billing@chicagoacademia.com.

Children's Drop In

Children’s Drop In classes require at least 48 hour notice of attendance via email to info@chicagoacademia.com or call/text to (708) 401-0888 and must be confirmed by an Academia Customer Service Coordinator. 

If you have confirmed a drop off date and time with an Academia employee and your child is absent, refund or credits will not be issued. If you have cancelled within 24 hours of confirmed attendance, refunds and credits will not be issued. In an emergency situation, you may purchase a same day drop in but you must VERBALLY confirm attendance with an Academia employee.

Abcenses (General)

Refunds or credits will not be issued for students who are absent (due to illness or otherwise). Placement in Academia’s before and after school programs, preschool, language classes, camps, drop in and other children’s programs and on the transportation bus is specifically reserved for your child. Once a placement or seat is reserved Academia does not replace that placement or seat even upon days of absence.

In case of absences, there will be no “make up” classes. No shows for classes or any enrollments, with no prior notification of cancellation, will not receive any prorations or refunds for a shorter day or session attended.

Adult Courses at Academia

 

Language Classes for Adults

In order to maintain a consistent fee, your monthly payment has taken into account all holidays and breaks when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday or for days listed in the class description. Classes billed monthly, four weeks in advance, may be cancelled at any time with four week’s notice. 

Refunds, prorations or credits will NOT be issued for student no shows or absences.  In case of absences, there will be no “make up” classes for any language classes.

Cultural Classes for Adults

Adult Classes – Defined Time Period

For classes with a distinct start and end date (e.g. a 12 week English Literature class), if you cancel 14 days before the class start date, you will receive 75% credit to be used for any other adult class. The credit must be used within 12 months. After the class has started, no refund may be made, as Academia has already scheduled instructor time based on your commitment to attend the class. In order to maintain a consistent fee, your monthly payment has taken into account all holidays when classes may not occur. As a result, no refund will be given for days during which your class falls on a public holiday.

 

Abcenses (General)

Refunds or credits will not be issued for students who are absent (due to illness or otherwise). Your placement in Academia’s adult classes is specifically reserved for you. Once a placement is reserved Academia does not replace that placement or seat even upon days of absence.

General (All Children & Adult Courses at Academia):

Academia reserves the right to cancel any class or event that does not meet minimum enrollment. If this happens, you will be notified via email, and a full refund including registration fee will be put back on the card used to register. In all other cases, registration fees are not refunded if the student cancels their participation.

If in the event a credit has been issued to your account, all credits will be valid for one year from the date the credit was issued. 

The Academia team will work hard to ensure children can continue attending our programs and will communicate with parents and staff to address any behavioral challenges.  However, any child attending Academia may be dismissed if the Academia management team do not believe the child is benefitting from the program offered or if they are not able to meet behavior expectations given available supports and accommodations.

Academia strives to meet the needs of all students, but may need to discontinue a student’s participation if extensive supports are required that exceed what our staff are able to provide.  We also reserve the right to remove students from programs if members of their family are not a suitable match for the Academia community. Academia reserves the right to decline new registrations from previous program participants. Academia is not liable for any additional costs parents may incur as a result of their child being unable to continue participation in a program. These decisions are solely at the discretion of the Director and management employees.

It is the customer’s responsibility to ensure a valid credit card is held on their account.  A $20 processing fee will be applied to the account for each missed payment.  Once Academia contacts you regarding a missed payment, you have seven days to pay the account balance in full.  If payment is not received at that time, your place in your class or your children’s class is canceled.  Regarding children attending Academia’s after school program, parents will always be notified so they may organize alternate arrangements.
